Assign records without elevated access

Managing who can assign records in iFormBuilder has traditionally required giving users broader platform permissions than the task demands. That changes now. We’re introducing a new user role called Record Assignment, designed to let admins delegate record assignment tasks without opening the door to other platform-level changes.

If your team distributes prefilled work orders, inspections, or tasks to field crews, this one’s for you.

What Is the Record Assignment Role?

The Record Assignment role is a focused permission level that gives designated users the ability to assign records to other users — and only that. Users with this role can distribute prefilled records to field teams for completion, without gaining access to form design, user management, or other administrative settings.

This is especially useful for team leads, dispatchers, and supervisors who need to push work out to the field but shouldn’t need to modify the underlying platform configuration.

Why It Matters

In many field operations, admins are the bottleneck for record assignment simply because no one else has the right permissions. The Record Assignment role solves this by creating a clean separation of duties:

  • Delegate with confidence. Give team leads the ability to distribute work without worrying about unintended changes to forms, profiles, or settings.
  • Reduce admin overhead. Free up your platform administrators to focus on configuration and strategy instead of day-to-day record routing.
  • Support least-privilege access. Follow security best practices by granting only the permissions each user actually needs.

Where Is It Available?

The walkthrough video above demonstrates the Record Assignment role from the new ZIM-enabled environment. However, this role is not limited to ZIM — it will be available on legacy iFormBuilder versions as well. No matter which version your team is running, you’ll be able to take advantage of this improvement.

How to Get Started

Setting up the role is straightforward. Admins can assign the Record Assignment role to any user from the user management area of the platform. Once applied, that user will see only the record assignment interface — no extra menus, no unrelated settings.
