Edit and delete records role

Edit and delete records without admin access

Sep 17, 2026

Earlier this year we introduced the Record Assignment role so admins could delegate record distribution without handing out broader platform permissions. The response was clear: teams want more of that same precision. Today we’re extending it with two new focused roles, Record Edit and Record Delete, each granted independently from the Company Admin role.

If your team corrects submitted inspections, cleans up duplicate work orders, or manages record quality after the field crew has moved on, this one’s for you.

What Are the Record Edit and Record Delete Roles?

Until now, editing or deleting a submitted record meant one thing: Company Admin access. That role also carries form design, user management, profile configuration, and every other administrative control on the platform. Giving a data reviewer the ability to fix a typo meant giving them the keys to everything.

The new roles break that bundle apart:

  • Record Edit lets a user open and modify existing records on the forms they have access to, and nothing else.
  • Record Delete lets a user remove records on the forms they have access to, and nothing else.

Each role is granted separately. A quality reviewer can hold Record Edit without Record Delete. A data steward can hold Record Delete alone. A team lead can hold Record Assignment, Record Edit, and Record Delete together and still never see a form builder or a user list.

Why It Matters

Most field operations have a handful of people who need to touch submitted data and one or two who should be changing the platform itself. Those groups rarely overlap. Separating record permissions from administrative permissions gives you:

  • Cleaner data without admin bottlenecks. Let reviewers correct field entries, update statuses, and fix mistakes directly instead of routing every change through an administrator.
  • Controlled cleanup. Grant Record Delete only to the people responsible for removing test submissions, duplicates, or records entered against the wrong form.
  • A smaller admin footprint. Fewer Company Admin accounts means fewer people who can accidentally change a form, a profile, or an integration.
  • Least-privilege access by default. Match each user’s permissions to the task they actually perform, a pattern that auditors and security teams expect to see.
  • Complete record lifecycle coverage. With Record Assignment, Record Edit, and Record Delete, every stage of a record’s life can now be delegated on its own terms.

How to Get Started

Admins can grant Record Edit and Record Delete from the same user management area where Record Assignment lives. Select the user, choose the role or roles they need, and save. The next time that user signs in, they’ll see the record tools they’ve been granted and none of the administrative menus they haven’t.

A good place to start is your existing Company Admin list. For each person, ask whether they change the platform or change the data. Anyone in the second group is a candidate for one of the new roles.
